AI Automation & Systems Manager

About the Role

We're looking for an experienced AI Automation & Systems Manager to lead the AI transformation of our company. Your mission is to identify repetitive tasks, implement AI solutions, and automate business processes across every department.

Our primary focus is building a world-class AI-powered recruiting operation. You will design, implement, and continuously improve systems that save time, increase productivity, and reduce manual work.

This is a hands-on role for someone who has successfully built AI workflows, integrations, and business automations.

Responsibilities

  • Analyze business processes and identify automation opportunities.
  • Build AI-powered workflows using ChatGPT, Claude, Gemini, Make.com, n8n, Zapier, APIs, and other AI platforms.
  • Automate our recruiting process from sourcing through onboarding.
  • Implement AI for candidate sourcing, resume screening, interview scheduling, follow-ups, CRM updates, reporting, and internal communication.
  • Build AI assistants and custom GPTs for recruiting, sales, operations, customer service, and marketing.
  • Connect and automate our CRM, ATS, email systems, Google Workspace, Slack, spreadsheets, and other business software.
  • Research and implement the latest AI technologies that improve efficiency.
  • Train team members to use AI effectively.
  • Measure and report productivity improvements created by AI.

Requirements

  • 3+ years of experience building AI automations and business systems.
  • Expert knowledge of ChatGPT, Claude, Gemini, Make.com, n8n, Zapier, AI Agents, APIs, and workflow automation.
  • Experience integrating multiple software platforms.
  • Strong understanding of AI implementation in real businesses.
  • Excellent English communication skills.
  • Self-motivated, highly organized, and able to manage projects independently.
  • Strong problem-solving skills with a focus on efficiency and automation.

Preferred Qualifications

  • Experience with recruiting or HR automation.
  • Experience with ATS and CRM integrations.
  • Knowledge of Python or JavaScript.
  • Experience building AI agents and custom GPTs.
  • Experience creating dashboards and automated reporting.

Within your first 90 days, you will:

  • Launch multiple AI automations across the business.
  • Significantly reduce manual work for our recruiting team.
  • Improve communication and workflow between departments.
  • Build scalable AI systems that allow our company to operate faster, smarter, and more efficiently.
