Job Description:

We are seeking a highly organized and dependable Operations Assistant to provide administrative and operational support to our team. The ideal candidate is detail-oriented, proactive, and able to manage multiple tasks efficiently in a fast-paced environment.

This role involves coordinating day-to-day administrative activities, maintaining communication with team members and clients, tracking tasks, and ensuring smooth operational workflows.

Key Responsibilities

  • Provide administrative support to the operations team
  • Manage and organize emails, calendars, and communications through Outlook
  • Coordinate tasks and monitor progress using Trello
  • Communicate with clients, vendors, and team members via WhatsApp and email
  • Create, send, and manage invoices using InvoiceSimple
  • Maintain accurate records, reports, and documentation
  • Assist with scheduling appointments and follow-ups
  • Track operational tasks and ensure deadlines are met
  • Handle data entry and general clerical duties
  • Support special projects and other administrative tasks as assigned

Qualifications

  • Previous experience in an administrative, operations, or virtual assistant role
  • Strong organizational and multitasking skills
  • Excellent verbal and written English communication skills
  • Ability to work independently and take initiative
  • Strong attention to detail and problem-solving abilities
  • Comfortable working in a fast-paced environment
