Position Overview
The Operations Coordinator will provide vital support to ensure smooth daily operations in real estate and client management. This role focuses on lead engagement, agent activity tracking, and listing coordination. The Operations Coordinator will be responsible for calling and following up with leads, posting and managing apartment listings across platforms, collecting documents, and ensuring that every lead, listing, and deal consistently progresses through the pipeline.
Key Responsibilities
- Call and follow up with leads to maintain engagement and move deals forward.
- Track agent activity and maintain accurate records in Google Sheets.
- Post and manage apartment listings on Facebook, Zillow, and other platforms.
- Collect, organize, and process documents using Adobe Sign and Outlook.
- Coordinate communication with agents and clients via WhatsApp and email.
- Ensure all leads, listings, and deals are updated and progressing in a timely manner.
- Provide operational support to management and assist with administrative tasks.
Qualifications
Education & Experience
- Bachelor's degree in Business Administration, Marketing, or related field preferred.
- At least 1–2 years of experience in operations, virtual assistance, or real estate support.
Technical Skills
- Proficiency in Google Sheets for tracking and reporting.
- Experience managing listings on Facebook Marketplace and Zillow.
- Familiarity with WhatsApp for communication and Adobe Sign for document collection.
- Strong organizational skills with Outlook for scheduling and correspondence.
Work Schedule (EST)
- Sunday: 2:00 PM – 4:00 PM
- Monday – Thursday: 10:00 AM – 6:00 PM
- Friday: 10:00 AM – 2:00 PM
